ELBENS is the trading name of Elbens Investments, Accra, Ghana. We sell through this website from our Nanakrom shop. We are registered with the Data Protection Commission of Ghana as a data controller, registration number [to be added].
This notice explains what we collect when you order, why, who sees it, and your rights.
What we collect, and why
| What | Why | Must you give it? |
|---|---|---|
| Your name | So we know who to ask for | Yes |
| Your phone number | To call you to confirm your order, and so you (and only you) can track it | Yes |
| Your area and directions | To deliver, and to work out the delivery fee | Yes, for delivery |
| Your Ghana Post GPS address | To find you more easily | No |
| Your location, only if you tap "Use my location" | To work out the distance and fee, and to guide our driver | No |
| What you ordered, and when | To prepare, deliver and record your order | Yes |
| Your payment: amount, mobile money or transfer, and the transaction ID if you give it | To record that you paid | The ID, no |
| Your internet (IP) address and phone number each time an order is tried | To stop abuse, such as fake orders | Recorded automatically |
We never see your mobile money PIN or wallet balance. You pay from your own phone; we only record what arrived.
We don't use tracking or advertising cookies. The site sets one small security cookie, which stops other websites from sending orders in your name.
Who sees it
- Our shop staff at Nanakrom see your order and phone number, to call you and prepare it.
- Our driver gets a delivery note with only your first name, area, landmark and the items. The shop gives him your number so he can call you when he's close.
- Our managers see sales records, which include your order.
- Nobody else. We don't sell your information or share it outside ELBENS, unless the law requires it (for example the Ghana Revenue Authority, or a court order).
- We don't send you promotions. We only use your number for your orders.
Where it is kept
Your information is stored on secure servers run for us by Oracle, in Johannesburg, South Africa. Encrypted backups are kept there too, and one backup copy is kept at our office in Accra. Only authorised ELBENS staff can get to it.
How we protect it
The site only works over an encrypted connection. Tracking an order needs both the order number and the phone number used to place it. Our staff sign in with their own accounts, and managers use a second step. Each person sees only what their job needs, and the database can't be reached from the internet.
How long we keep it
- Orders, payments and receipts: 6 years after the end of the year of the order, because Ghana's tax law requires it. After that we remove your name, phone number and address details from old orders.
- The record of order attempts (internet address and phone number): 90 days.
Your rights
Under Ghana's Data Protection Act, 2012 (Act 843), you can ask what information we hold about you and get a copy; ask us to correct it; ask us to delete what the law doesn't require us to keep; object to how we use it or to any marketing; and complain to the Data Protection Commission (dataprotection.org.gh) if you're not happy with how we handled your request.
To ask, contact us from the phone number you ordered with, so we can confirm it's you. We reply within 21 days.
